Jeju International Environment Plus Forum 2025 Secretariat (http://jplusforum.kr/) (“Secretariat”) establishes and provides its Privacy Policy in order to protect personal information of any information subject under Article 30 of the Personal Information Protection Act (“PIPA”) and promptly and smoothly facilitate any complaints arising from the protection of personal information as follows:
○ This Privacy Policy comes into effect on June 11, 2025.
Article 1. Purpose of Processing Personal Information
The Secretariat processes personal information for the following purposes and will not use personal information it processes for any purpose other than those set forth below. In case of any change in such purposes, it will take necessary measures, for example, by obtaining separate consent from information subjects under Article 18 of the PIPA:
1. Online Membership Admission and Management
The purpose of processing personal information is to confirm a user’s intent on signing up for membership, identify and verify a user for the provision of membership services, give various notifications and address complaints.
2. Handling of Complaints
The purpose of processing personal information is to confirm the identity of a relevant complainant and details of complaints, give notification for fact-finding and notify the result of handling complaints.
3. Provision of Goods and Services
The purpose of processing personal information is to provide guidance on registration and information on Jeju International Environment Plus Forum 2025.
Article 2. Period of Processing and Retention of Personal Information
① The Secretariat processes and retains personal information within the periods of retention and use of personal information as prescribed in applicable laws or as agreed by a relevant information subject when collecting personal information therefrom.
② The periods of processing and retention of personal information are as follows:
1. < Online Membership Admission and Management>
Personal information relating to < Online Membership Admission and Management> will be used for the above purposes for one (1) year from the date of consent to the collection and use of personal information. Applicable law: Records of collection/processing and use of credit information, etc.: 3 years
Article 3. Personal Information Items Subject to Processing
① The Secretariat processes the following personal information items:
1. Online Membership Admission and Management
Required items: e-mail address, mobile phone number, name, office phone number, title, department, company name Selective items: records of use of services, access logs, cookies, access IP information
Article 4. Provision of Personal Information to a Third Party
① The Secretariat processes personal information within the scope specified in Article 1 (Purpose of Processing Personal Information) and provides personal information to a third party in cases falling under Articles 17 and 18 of the PIPA, including consent of information subjects or special provisions of applicable laws.
② The Secretariat provides personal information to a third party as follows:
1. < International Convention Center Jeju Co., Ltd.> Receiving parties: International Convention Center Jeju Co., Ltd. Receiving parties’ purpose of use of personal information: e-mail address, mobile phone number, name, office phone number, title, department, company name, records of use of services, access logs, cookies, access IP information
Receiving parties’ period of retention and use of personal information: 1 year
Article 5. Outsourcing of Processing of Personal Information
① The Secretariat outsources the processing of personal information in order to smoothly facilitate the processing of personal information as follows:
1. < Operation of Jeju International Environment Plus Forum 2025 and Production/Operation of Website>
Outsourced parties: International Convention Center Jeju Co., Ltd.
Details of outsourced business: identification of information subjects for the use of membership services, handling of complaints, and delivery of notifications
Period of outsourcing: 1 year
② Upon execution of the outsourcing agreement, the Secretariat prescribes the prohibition of processing of personal information for any purpose other than the performance of the outsourced business under Article 26 of the PIPA, technical and managerial protective measures, restriction on sub-outsourcing, management and supervision of an outsourced party and matters regarding damage compensation and supervises whether the outsourced party safely processes personal information.
③ Any change in the details of such outsourced business or outsourced party will be promptly disclosed through this Privacy Policy.
Article 6. Procedure and Methods of Destruction of Personal Information
① When the purpose of processing of personal information has been fulfilled and the retention period has elapsed, thereby causing such personal information to become unnecessary, the Secretariat will immediately destroy such personal information, except as required to be retained under applicable laws.
② The destruction procedure and methods are as follows:
1. Procedure for Destruction
The Secretariat sorts out personal information which should be destroyed for any reason and destroys such personal information under the responsibility of the Personal Information Protection Officer of the Secretariat in accordance with the internal procedures as follows:
- Destruction of personal information
The Secretariat immediately destroys personal information at the expiry date, for which the retention period has elapsed.
- Destruction of personal information files
If any personal information file becomes unnecessary due to the fulfillment of the purpose of such personal information file, discontinuance of relevant services or closure of business, the Secretariat immediately destroys such personal information file at the date when the processing of information is determined unnecessary.
2. Methods of Destruction
Personal information stored in electronic file formats will be deleted by a technical method not allowing retrieval of the record.
Personal information printed on paper will be destroyed using a shredder or through incineration.
Article 7. Rights and Obligations of Information Subjects and Their Legal Representatives and How to Exercise Such Rights
① An information subject may exercise his/her right to request the Secretariat for any access, correction, deletion and suspension of processing of personal information at any time.
② The right under Paragraph ① may be exercised against the Secretariat in writing or by e-mail or fax under Article 41, Paragraph (1) of the Enforcement Decree of the PIPA, and the Secretariat will immediately take measures in this regard.
③ The right under Paragraph ① may be exercised via an information subject’s attorney-in-fact such as legal representative or any other person authorized by the information subject. In this case, a power of attorney should be submitted under Appendix 11 of the Notification of Methods of Processing of Personal Information (No. 2020-7).
④ In connection with the request for access to personal information and suspension of processing of personal information, an information subject’s rights may be restricted under Article 35, Paragraph (4) and Article 37, Paragraph (2) of the PIPA.
⑤ For any personal information specified to be collected under other applicable laws, correction and deletion may not be requested.
⑥ The Secretariat confirms whether any person who has requested for access, correction or deletion, and suspension of processing of personal information is an information subject or his/her proper attorney-in-fact.
Article 8. Measures to Secure the Safety of Personal Information
The Secretariat takes the following measures to secure the safety of personal information:
1. Minimization of the Number of Persons in Charge of Processing Personal Information and Relevant Education
The Secretariat designates the minimum number of persons in charge of processing personal information and takes measures to manage personal information with such personnel.
2. Establishment and Implementation of Internal Control Plan
The Secretariat establishes and implements an internal control plan to process personal information in a safe manner.
3. Technical Measures in Preparation for Hacking, etc.
The Secretariat installs and regularly renews and inspects security programs to prevent any leakage or damage of personal information due to hacking or computer viruses, etc. and utilizes a system at restricted areas to technologically and physically monitor and prevent such hacking or computer viruses.
4. Encryption of Personal Information
The Secretariat stores and manages the personal information of users, including passwords, after encryption to ensure such information remains unknown to other persons, and uses a separate security function through encryption or file locking for any material data for storage and transmission.
5. Retention of Access Logs and Prevention of Forgery and Falsification
The Secretariat retains and manages access logs to the personal information processing system for at least one (1) year, or for two (2) years if any personal information is added or unique identifiable or sensitive information is processed for at least 500,000 information subjects. In addition, it uses a security function to prevent any forgery and falsification, theft and loss of access logs.
6. Restriction on Access to Personal Information
The Secretariat takes necessary measures to control access to personal information by granting, changing, and de-registering access to a database for processing personal information and restricts any unauthorized access by third parties to personal information using a firewall.
7. Access Control for Unauthorized Persons
- The Secretariat separately designates a physical storage place for the system for retaining personal information and establishes and operates the access control procedures therefor.
Article 9. Installation, Operation, and Refusal of Automatic Personal Information Gathering Tools
① The Secretariat uses cookies to store and search data of using the website from time to time in order to provide customized services to individual users.
② A cookie refers to a small volume of data that is sent by a server (http) used for the operation of website to users’ browser, and is stored on a hard disk in the users’ PC.
A. Purpose of Cookies, Etc.: The purpose of cookies is to identify services and websites the users visited, the pattern of use, popular search words and secure connection and then provide information customized to the users.
B. Refusal to the Installation of Cookies: A user may refuse to install cookies by choosing Tools > Internet Options > Privacy on the upper side of a web browser.
C. If the user refuses to install cookies, the user may be restricted from receiving any customized services.
Article 10. Matters Regarding Personal Information Protection Officer
① The Secretariat designates the Personal Information Protection Officer who is fully responsible for the protection of personal information and handling of complaints and damage relief regarding personal information as follows:

② An information subject may make any inquiry with the Personal Information Protection Officer and the responsible department with respect to all matters relating to the protection of personal information, handling of complaints and damage relief regarding personal information incurred from the use of the Secretariat’s services (or businesses). The Secretariat will promptly give response and handles such inquiry.
Article 11. Department Receiving and Handling Requests for Access to Personal Information
An information subject may request the following department to grant access to personal information under Article 35 of the PIPA, and the Secretariat will endeavor to promptly handles the information subject’s request for access to personal information:

Article 12. Methods of Relief for Infringement of Information Subject’ Rights
An information subject may file application for dispute resolution or counseling with the Personal Information Dispute Mediation Committee or the Personal Information Infringement Report Center operated by Korea Internet & Security Agency in order to receive relief for any infringement of personal information. For other reports or counseling with respect to any infringement of personal information, please inquire with the following institutions:

In connection with any requests under Article 35 (Access to Personal Information), Article 36 (Correction or Deletion of Personal Information) and Article 37 (Suspension of Processing of Personal Information) of the PIPA, a person whose rights or interests have been infringed due to any action or inaction of the head of a public institution may file administrative appeal as prescribed by the Administrative Appeals Act.

Article 13. Amendment to Privacy Policy
① This Privacy Policy comes into effect on August 22, 2024.
